PropFix Privacy Policy

This policy explains what personal information the PropFix app collects, why, who it is shared with, how long it is kept, and how you can get it deleted. It is written to be read, not to be survived.

1. Who is responsible for your information

PropFix is business software sold to property management companies. That changes who is answerable for your data, and it is worth being clear about it up front.

If you are a contractor or tenant and want your information corrected or removed, you can contact us directly using the details at the end — but the company you deal with may also hold records we cannot decide for them.

2. What we collect

We do not run advertising, we do not use an advertising identifier, and we do not use analytics or tracking software. The app requests only the permissions it needs to do its job.

3. Why we are allowed to use it

Where the UK/EU GDPR applies, our legal bases are: performance of a contract (running the service you signed up for), legitimate interests (keeping the app working, secure and free of fraud), legal obligation (retaining financial records), and consent where you grant a device permission such as camera or location. You can withdraw a device permission at any time in your phone's settings; parts of the app that depend on it will stop working.

4. Who your information is shared with

We do not sell personal information, and we do not share it for advertising. We use the following service providers to run PropFix:

Your information is also visible to the property management company you are connected to, which is the point of the product. Contractors see the jobs assigned to them; tenants see their own complaints and unit. Companies cannot see each other's data.

We may disclose information if we are legally required to, or to protect the rights and safety of users.

5. Where your information is stored

Our infrastructure providers operate globally and your information may be processed outside your country, including in the United States. Where required, transfers rely on the providers' standard contractual clauses.

6. How long we keep it, and what deletion actually does

Please read this part carefully, because it is the part people are usually surprised by. When you delete your account, your sign-in and personal profile are permanently destroyed. If you are a Property Manager, your properties and work orders are deleted along with your account. Uploaded job photo files, however, are not automatically wiped from file storage the instant you delete your account — see below.

On deletion we erase: your login credentials, your name, your email address, your phone number, your push notification token, and your subscription/billing record in our database.

What happens to job history is different for each role, because it is stored differently, and we want to be accurate rather than reassuring:

If you are a Property Manager deleting your account, your properties, work orders and contractor invite codes are deleted with it — permanently, not disassociated.

If you are a Contractor deleting your account, the work orders you were assigned to are not deleted — they stay with the Property Manager as that company's operating record, and the link to your account is removed. However, the work order still stores your name as a separate piece of text (recorded at the time you were assigned), and deleting your account does not remove that text. Your name may continue to appear on historical work orders even though your account and login no longer exist.

If you are a Tenant deleting your account, your maintenance complaints are permanently deleted, not retained. This is different from a Contractor's work orders: your complaint records are stored in a way that is destroyed, not disconnected, when your account is deleted. Any invite code you used to link your unit survives (it belongs to the Property Manager) but is no longer connected to your identity. If a Property Manager separately typed your name or phone number into a work order as free text, that text is not part of your account and is not affected either way by your account's deletion.

7. Deleting your account

In the app: open the menu (Settings for Property Managers, the ⋮ menu for Contractors and Tenants), choose Delete Account, and confirm twice. It takes effect immediately.

8. Your rights

Depending on where you live, you may have the right to: access the information we hold about you; correct it; delete it; object to or restrict how we use it; receive a copy in a portable format; and complain to your local data protection authority. In the United States, this includes rights under state privacy laws such as the CCPA/CPRA in California; in Canada, under PIPEDA.

We do not discriminate against anyone for exercising these rights. To make a request, contact us using the details below. We will respond within 30 days.

9. Children

PropFix is business software and is not directed at children. We do not knowingly collect information from anyone under 18. If you believe a minor has created an account, contact us and we will remove it.

10. Security

Connections to our servers use HTTPS, the app's API keys are not embedded in a way that grants direct data access, and access to data is restricted per company at the database level using Row-Level Security. No system is perfectly secure, but these are not decorative measures.

11. Changes to this policy

If we change this policy in a way that materially affects you, we will update the date at the top and notify you in the app or by email. Continuing to use PropFix after a change means you accept it.
